At Motivate LLC, employee safety is our top priority. To ensure a safe and productive work environment, we provide personal protective equipment (PPE) that meets the highest standards, and weather and other safety gear for our employees. It’s important for our team members to know not only how to use this gear properly but also how long it should last and when they are eligible for new equipment. Below is a guide to the types of weather and safety gear we offer and the replacement timeframes for each item. Attached to the bottom of this article is the PPE Matrix Needs per City.  


Hi Vis Vest - 12 Months

Hi-visibility vests are essential for ensuring that employees are seen in all lighting conditions, especially in high-traffic areas or during nighttime operations. Each employee is eligible for a new hi-vis vest every 12 months. Regularly check your vest for wear and tear, as visibility diminishes over time.


Rain Gear - 24 Months

Rain gear is provided to keep our employees dry and comfortable during wet conditions, enhancing both safety and productivity. Rain jackets and pants can be replaced every 24 months. If your rain gear becomes damaged or loses its waterproof qualities before this period, please report it to your manager for assessment.

Safety Glasses - 4 Months

Eye protection is crucial for safeguarding against debris, chemicals, and other hazards. Safety glasses can be replaced every 4 months. Given their frequent use and the potential for scratches or damage, it's important to replace them regularly to maintain clear vision and effective protection.


Safety Shoes - 18 Months

Safety shoes protect feet from heavy impacts, punctures, and other workplace hazards. These should be replaced every 18 months to ensure they continue to offer maximum protection and comfort. If your shoes show significant wear or damage before the replacement period, notify your supervisor.

*Safety shoes are provided to all department work assignments excluding Field Bike Mechanics, Depot Bike Mechanics and Station Valets.*  


Winter Coat - 36 Months

Winter coats are provided to keep employees warm in cold weather conditions, ensuring they can work comfortably and safely. Each employee can receive a new winter coat every 36 months. Proper maintenance and storage of your coat can help extend its life, but replacements are available as scheduled.

Winter Coveralls - 36 Months

Like winter coats, winter coveralls provide full-body protection against cold temperatures. These can also be replaced every 36 months. They are designed for durability but should be inspected regularly for any signs of wear.

Work Gloves - 12 Months

Work gloves are vital for protecting hands from cuts, abrasions, and chemical exposure. Employees are eligible for new work gloves every 12 months. Depending on the nature of your tasks, gloves might wear out faster, so always check for damage and request replacements as needed.


Requesting Replacement PPE/Gear

To request replacement PPE or other gear, please follow these steps:

  1. Check the Replacement Schedule: Refer to the above timeframes to determine your eligibility for new equipment.
  2. Inspect Your Current PPE/gear: Regularly inspect your PPE/gear for any damage or wear and tear that may compromise safety.
  3. Submit a Request: Contact your manager to request replacement gear. Provide details about the condition of your current PPE/gear and the type of replacement needed.
  4. Receive Your New : Once approved, you will receive new PPE/gear to ensure you can continue working safely and efficiently.
