If an employee requests a shift swap, PTO, or STO that is not compliant with the local policy, the AOM must send an email to their work account to either clarify the request or a reason for the denial.
Improper Shift Swaps
Swapping shifts with another employee is one way for an employee to avoid an unexcused absence. The shift swap must be initiated in DF and accepted by both individuals and approved by the manager. There are instances where MTV must deny the shift swap. Shift swaps can be denied for the following reasons:
- Overtime is not available
- Applicable if the employee is giving the shift away OR
- if the shifts in question are in separate weeks
- The employees doing the swap will be acting in different roles on the days being swapped
- For example, if one employee is scheduled to act as a lead on one of the days and the swapping employee is not trained to be a lead

PTO emails
AOMs should email an employee if their PTO request is going to be denied and provide a reasoning. This helps employees understand that the denial is not being done callously but is being done in line with the company policy and CBA. Here are some examples of why an employee would be denied PTO request:
- Too many people are already scheduled off on that day
- The CBA lays out how to manage multiple PTO requests (normal days first come first serve, holidays are granted in seniority)
- Local SOM/Directors will set policy the number of staff permitted off on a given day
- Insufficient PTO balance
- There are some instances where PTO can be requested prior to being accrued but MTV reserves the right to deny these requests
STO emails
There are few instances where STO can be denied if the person has the correct balance. If someone is using STO to cover a partial shift and there is some question as to which hours to cover, the AOM must reach out to the employee immediately and adjust the request to match the hours missed.
